This Privacy Policy ("Policy") describes how Prime Mind Group LLC, a limited liability company organized under the laws of the State of Maryland, United States of America ("Prime Mind Group," "Company," "we," "us," or "our"), and its educational division PrimeMind Academy(collectively, the "Service") collect, use, disclose, store, and otherwise process information about you ("you," "user," or "User") in connection with our websites, applications, courses, certificates, AI tools, and any related services (collectively, the "Services").

By accessing or using the Services, you acknowledge that you have read, understood, and agree to be bound by this Policy and our Terms & Conditions. If you do not agree, you must not access or use the Services.

1. Information We Collect

We collect the following categories of information:

  • Account information: name, email address, password (hashed), profile photo, billing details, country, and language preference.
  • Identity & verification: information you submit to verify enrollment, employment, eligibility, or certificate issuance.
  • Payment information: processed by third-party payment processors (e.g., Stripe). We do not store full payment card numbers on our servers.
  • Usage data: course progress, quiz answers, assessments, badge progress, login timestamps, device/browser data, IP address, referrer URLs, and interaction logs.
  • User content: prompts, files, assignments, AI playground inputs/outputs, messages, and other content you submit.
  • Cookies and similar technologies: see Section 7.
  • Communications: support requests, survey responses, and correspondence with us.

2. How We Use Information

We use information to:

  • provide, operate, maintain, secure, and improve the Services;
  • process enrollments, payments, refunds, certificates, and badges;
  • authenticate users and prevent fraud, abuse, or unauthorized access;
  • respond to inquiries and provide customer support;
  • send transactional and, where permitted, marketing communications (you may opt out at any time);
  • conduct research, analytics, and product development;
  • comply with applicable laws, regulations, court orders, and lawful requests by governmental authorities; and
  • enforce our Terms & Conditions and protect the rights, property, and safety of Prime Mind Group, our users, and third parties.

3. Legal Bases for Processing (EEA/UK Users)

Where the EU/UK General Data Protection Regulation applies, we process personal data on the legal bases of (a) performance of a contract, (b) compliance with legal obligations, (c) our legitimate interests in operating and securing the Services, and (d) your consent where required.

4. How We Share Information

We may share information with:

  • Service providers (hosting, payments, analytics, email, AI model providers, customer support) bound by confidentiality and data-processing obligations;
  • Affiliates and subsidiaries of Prime Mind Group LLC;
  • Professional advisors (lawyers, auditors, accountants);
  • Government or law-enforcement authorities when required by law, subpoena, court order, or to protect legal rights;
  • Successors in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets; and
  • Other users or the public only with respect to information you elect to make public (e.g., a published certificate verification page).

We do not sell personal information for monetary consideration.

5. AI Features and User Content

The Services include AI-powered features. Inputs you provide may be transmitted to third-party model providers to generate responses. You are solely responsible for the content you submit and must not submit sensitive personal information, regulated data (e.g., PHI, payment card data), trade secrets, or any data you are not authorized to share. AI outputs may be inaccurate; you are responsible for independent review and verification before relying on them.

6. International Data Transfers

We are based in the United States. By using the Services, you understand and consent to the transfer, processing, and storage of your information in the United States and other jurisdictions whose data protection laws may differ from those in your country. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses.

7. Cookies and Tracking

We use cookies, local storage, pixels, and similar technologies for authentication, preferences, analytics, and performance. You may control cookies through your browser settings; disabling cookies may impair functionality of the Services.

8. Data Retention

We retain personal information for as long as necessary to provide the Services, comply with legal obligations (including tax and accounting), resolve disputes, and enforce agreements. Retention periods vary based on the nature and sensitivity of the data.

9. Security

We employ commercially reasonable technical and organizational measures designed to protect information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security. You use the Services at your own risk and are responsible for safeguarding your credentials.

10. Your Rights

Subject to applicable law (including the GDPR, UK GDPR, CCPA/CPRA, and similar statutes), you may have the right to access, correct, delete, restrict, port, or object to processing of your personal information, and to withdraw consent. To exercise these rights, email privacy@primemindgroup.com. We will respond within the timeframes required by law. We may need to verify your identity before fulfilling a request.

California residents: we do not sell or "share" personal information for cross-context behavioral advertising as those terms are defined under the CCPA/CPRA.

11. Children's Privacy

The Services are not directed to children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact us and we will take steps to delete it.

12. Third-Party Links and Services

The Services may contain links to third-party sites, plug-ins, or applications. We are not responsible for the privacy practices or content of any third party. We encourage you to review their privacy policies.

13. Changes to This Policy

We may update this Policy from time to time. Material changes will be communicated by posting the updated Policy with a new "Last updated" date and, where required, by additional notice. Your continued use of the Services after the effective date constitutes acceptance.
